#1 Accounts Payable Specialist

Zendesk is looking for a skilled Accounts Payable Specialist responsible for processing Global expense reports and Invoices. Strong organizational skills and attention to details are required. Candidates should have at least 2 years experience in Invoice processing & Expense reporting at mid to high level complexity, can manage volume while ensuring accuracy and timeliness are met, share best practices and adhere to the policies in place.

What you’ll be doing

  • Manage and review global expense reports and invoices, ensuring compliance with policies, proper expense classification, and completeness of support/receipts and approvals. This includes managing the Zendesk AP Inbox queue for data entry and processing, and reconciling processed work with the ticketing queue and flagged expense reports.
  • Assist in corporate card management, including card application, termination, and credit limits, and charge expenses to accounts and cost centers by analyzing invoice/expense reports.
  • Collaborate with the Procurement team to ensure purchase orders are complete and ready to match with open/pending invoices, and resolve any discrepancies or issues with Purchase Order, Invoice, or payments.
  • Verify vendor accounts by reconciling monthly statements and related transactions, working with vendors to obtain any missing invoices, and providing prompt, efficient customer service to external vendors and internal inquiries.
  • Assist in periodic audits and tax compliance of Accounts Payable, take necessary steps to correct discrepancies, and ensure archiving and record retention of all Accounts Payable and T&E documents.
  • Participate in continuous improvement initiatives, process documentation, and training opportunities, while maintaining the confidentiality of financial information and accomplishing accounting and organizational missions as needed.


What you bring to the role

  • Bachelor’s Degree in Finance or Accounting or equivalent
  • 2 years experience doing Accounts Payable or Travel and Expense experience in a SAAS company/ Finance Shared Services experience preferred.

What you’ll be doing

  • Managing ticket lifecycle and workflow, communicating with internal business partners and external parties such as Zendesk customers, vendors, and subscriber end-users.
  • Processing requests of medium- to high-level complexity from various stakeholders, including end-to-end NDA cycle management, handling data privacy-related concerns, and managing legal website content.
  • Supporting and leading special projects to launch and operationalize new workstreams, in collaboration with the LSS Associate Manager.
  • Performing quality assurance of select tickets processed by analysts, and providing regular or periodic process-related training to analysts.
  • Working closely with the Senior Legal Process Specialist to build and maintain systems- and process-specific documentation.
  • Leading the development and maintenance of intranet sites or help articles specific to the Legal Shared Services.

What you bring to the role

  • Bachelor’s degree or equivalent experience of at least 3 years of demonstrated experience in a Shared Services role, preferably in legal support or legal services.
  • Experience with processing, maintaining, and filing a wide variety of contract and agreement types typical to a sales-driven organization. Experience in the Software-as-a-Service industry is a plus!
  • Proven experience in technical writing, with a focus on process manuals, workflow diagrams, and knowledge base articles.
  • Experience in performing quality assurance for a variety of document types, ensuring accuracy and consistency.
  • Excellent verbal and written communication skills including the ability to communicate sophisticated scenarios in a clear and concise manner.
  • Ability to independently manage shifting workloads, prioritize and deliver on opportunities.
